After a listing appointment, you need to follow up while the conversation is still fresh. This email reinforces your value and moves toward a signed agreement.

During our meeting, I highlighted [2-3 things you discussed: pricing strategy, staging plan, marketing approach]. I want to thank them for their time, summarize the key points, and ask if they are ready to move forward. Warm, professional tone. Under 150 words.

Once a property goes under contract, your seller client needs regular updates. These keep anxiety low and trust high.

Write a brief status update email to my seller client [Name]. Their property at [address] went under contract [X] days ago. Here is what has happened since:

The week before closing, your client needs a clear checklist of what to expect.

Tone: factual, calm, solution-oriented. Do not take sides. Under 200 words.

Write an email to my client [Name] letting them know that closing has been delayed from [original date] to [new date] because [reason: lender needs additional documentation / title issue being resolved / etc.]. Acknowledge the inconvenience. Reassure them that this is being handled and provide a clear next step. Under 120 words.

The same message requires different tones depending on the context. Here is how to adjust:

  • Excited moments (just listed, under contract, closing day): Use words like “thrilled,” “great news,” “milestone.” Keep energy up.
  • Stressful moments (inspection issues, financing delays): Use words like “manageable,” “common,” “working through.” Keep energy calm.
  • Difficult moments (price reduction, low appraisal, deal falling through): Use words like “I understand,” “let us look at options,” “here is what I recommend.” Keep energy grounded.

You can add tone instructions directly to any prompt: “Write this in a calm, solution-oriented tone --- the client is stressed and needs reassurance” or “Write this with excitement --- this is great news.”

Once you have generated emails for each transaction phase, save the prompts that produced the best results. Over time, you build a personal template library that covers every scenario. When a new transaction starts, you pull up the relevant prompt, swap in the new client details, and have a polished email in seconds.
